For businesses running 5 to 20 company vehicles
Your fleet, without the spreadsheet and the group chat
CarRoster shows who has which vehicle, which one is free, when a service is due and what it all costs. On the computer in the office and on the phone beside the vehicle — the same data, always current.
CarRoster is in active development and will be available soon. The app itself is in English, with a Slovenian interface in preparation.
The everyday problem
Questions a spreadsheet cannot answer
With five vehicles you manage. At fifteen, coordination scatters across files, chats and people’s heads.
Who has the van?
You ask three people. Nobody is certain.
Is a vehicle free on Wednesday?
The spreadsheet is three days old.
Where did this scratch come from?
No photo, no date, no record.
Features
Everything a small fleet needs
Without the modules nobody ever opens.
Damage, with photographs
Mark the damage on a diagram of the vehicle. The record survives the repair — which is what counts at resale.
Bookings
Book a vehicle ahead. When the day comes, the booking turns itself into an active trip.
On the computer and the phone
iOS and Android apps for use beside the vehicle. Everything syncs as you go.
Check-out and return
Mileage and fuel are recorded at check-out and at return. Every trip stays in the vehicle’s history.
Servicing and costs
A warning as a service approaches. Fuel, repairs and insurance in one place.
Roles and permissions
A driver cannot change what they are not allowed to — the limits live in the database, not only in the interface.
An important distinction
CarRoster is not GPS tracking
We do not follow vehicle locations and we do not monitor drivers. Drivers record their own check-out and return — the tool is for coordination, not surveillance.
Why not just use Excel
Excel is excellent. For one person at a time.
A spreadsheet is not a bad tool — it simply is not built for five people editing the same thing at once.
| Area | Excel and the group chat | CarRoster |
|---|---|---|
| Who has a vehicle right now | The last version somebody saved | The current state, in real time |
| Several people at once | One person at a time | Everyone at once, nobody overwritten |
| Access for drivers | Whoever has the file can change all of it | Each person sees only what they should |
| Use beside the vehicle | A spreadsheet on a phone | Apps for iOS and Android |
Security and data
Employee data deserves to be taken seriously
The system holds employees’ names, their trips and photographs of vehicles — not a spreadsheet on a shared drive that anyone who knows the path can open.
- Servers in the EU (Frankfurt)
- Each company sees only its own data
- Two-factor sign-in for administrators
- Photographs are not publicly accessible
- Daily encrypted backups
